Reservation Policy
A 2 night minimum stay is required for
all rentals. Advance rentals for July,
October, and December must be 7 days or
more. Shorter rental periods may be
accepted for these months a maximum of
30 days prior to your desired arrival
date. We also reserve the right to
require a longer minimum stay during
holidays.
Payment in full is due upon return of
your signed contract. Signed contracts
must be returned within 48 hours to
confirm your reservation. Your card will
be charged for the entire amount upon
return of signed contract, unless other
payment arrangements have been made. If
a balance is due, your card will be
charged approximately 30 days prior to
arrival. BRVC is NOT responsible for any
bank charges you may incur as a result
of these charges.
We accept payments via MasterCard, Visa,
certified check or personal check.
Personal checks are acceptable for
advance rental amounts or balances due
provided the check is received 30 days
prior to the vacation rental arrival
date.

Security
Deposits
Your reservation includes a $39 non
refundable damage insurance policy which
will cover any accidental damage to your
rental up to $3,000. For any intentional
damage or theft your contract provides
for a $300 security deposit is
authorized by you, as permitted under
the Tenant Security Deposit Act. This
amount will not be charged
unless damages, losses or reimbursable
charges occur. If it becomes necessary
to charge your security deposit, you
will receive email notification within
45 days of departure, and prior to our
charging your card. We are NOT
responsible for any bank charges you may
incur as a result of this charge.

Check-in Procedure (check-in time is 5
PM)
Directions to your cabin and a lock box
code for entry are shown on your
contract. Please make absolutely certain
that you bring these with you. Early
check-ins may be available but you MUST
call the business day prior to your
arrival to make certain that your cabin
has been cleaned and to give us your
ETA. Unless your early check-in is
previously arranged with BRVC, charges
may apply.
Because each house has a lock box, we do
allow late check-ins. However, after
6:30 PM we cannot guarantee that someone
will be available at your convenience.
Please be sure to bring your
directions, your lock box code, and a
flashlight. We strongly advise that you
arrive during daylight hours in case you
should require assistance.
BRVC will not give refunds if you are
unable to find and check into your unit
due to arrival after dark, weather
conditions, lost directions, and/or
inappropriate vehicles/tires/chains on
your car. We remind you that this is the
mountains and driving conditions may
include steep gravel roads, fog, rain,
ice and/or snow.

Check-out Procedure (check-out time is
11 AM)
Please observe this rule as our
housekeeping staff needs time to prepare
for our next guests. If you require a
late check-out, please call the office
during business hours to inform our
staff how much time you need.
There are check-out procedures on the
refrigerator and in the guest book at
each unit. Please be sure to follow
these directions. PLEASE replace the key
into lock box and leave the additional
key in the house.

Cancellations
Cancellations by tenant for rentals in
advance of 30 days (60 days for
reservations of one week or more) will
be charged a 15% cancellation fee or
$100, whichever is greater. All
additional money will be refunded.
For cancellations within the 30 days
prior to arrival (60 days for
reservations of one week or more), the
tenant understands that 100% of the
rental money paid to BRVC will be
forfeited unless the cabin is re-rented
for the dates reserved. If the cabin is
re-rented, the standard cancellation fee
will apply and the balance will be
returned to you via your payment method.
BRVC will make every effort to re-rent a
cabin that has been cancelled, but we
cannot insure that we will be able to do
so.
Customers may wish to consider
travel insurance available through our
office. All requests for cancellations
must be in writing.

Occupancy
BRVC does not allow parties, excess
occupancy of a cabin, or rentals to
persons less than 25 years of age. All
tenants must represent themselves to be
an adult 25 years of age or older.
Each house has a maximum number of
allowable occupants. This is based on
available bedding, septic permits, and
any restrictive covenants which may
exist. Should you exceed the number of
persons as stated on your contract, you
will be charged $100 per extra person.
Additionally, we do not allow air
mattresses, tents, outside sleeping
quarters, RVs, campers or any other
means to allow additional people on the
premises, inside or outside on the
grounds. If you have guests in your
cabin for over a period of 6 hours, they
will be considered a violation of your
agreement and your credit card will be
charged accordingly. No exceptions!

Condition of Property & Amenities
Every effort has been made to ensure
that our descriptions and distances to
area attractions are accurate; however,
BRVC cannot be held responsible for
changes made by owners in furnishings
and/or amenities, inaccurate
descriptions, distance errors, or
printing errors. While we make every
effort to ensure all amenities are
working or are repaired if necessary, we
cannot guarantee that all amenities
offered will be working at all times.
Please note that we will be unable to
move you to another house or refund
money based on these issues.

Maintenance
All equipment in the cottages should be
in working order. Please report any
inoperative equipment to our office as
soon as possible. Every reasonable
effort will be made to promptly repair
the same. No refunds will be made for
inoperative air conditioners,
non-necessary appliances/heaters, or hot
tubs. We are not responsible for
any power outages that may occur.
We will make every effort to get it
fixed, reported, or to move you to
another house but we will not refund any
part of your money for power outages
less than 36 hours.

Pets
(dogs only)
We offer several cabins that are
pet-friendly. Please inquire at the time
of your reservation if wish to bring
your dog(s). There is a $65 fee per dog.
Your dog must be on a flea control
program. You should never leave your dog
unattended at the property unless
crated. Pets are never allowed on the
furniture or beds and every effort
should be made to keep them off of area
rugs as well. Excessive pet hair on
couches, beds, pool tables, etc. is just
cause for charges to be taken from your
agreed upon security deposit. BRVC
reserves the right to remove guests from
premises if dog rules are not adhered
to. Pet owners acknowledge that they are
financially responsible for any damages
caused by their pet.
An undeclared pet in a pet-friendly
cabin will result in a $100 pet fee. An
undeclared pet in a NON-pet friendly
cabin will result in forfeiture of your
security deposit and/or expedited
eviction.

Fireplaces
Fireplaces are for use during the
October through April rental season
only, and are not to be used
while the air conditioner is running.
For cabins with wood burning fireplaces,
we can provide firewood for an
additional charge that includes starter
logs, matches and enough firewood for
your stay.
Please make your request for firewood
when booking your cabin.

Hot Tubs
Hot tubs are cleaned between guests
and/or bi-weekly. Since neither the
homeowner nor BRVC employees are on the
premises during the use of these
amenities, the rental party agrees to be
solely responsible for the use and
operation thereof. The tenant must sign
a hot tub agreement that holds neither
the owner nor BRVC liable for any
accidents, incidents, or events that
occur during the use of the hot tub by
the tenant, the tenant’s permitted
occupants, or anyone else using the hot
tub during the time period of your
tenancy. Use of the hot tub is solely at
your own risk. Persons who are or may be
pregnant, have high blood pressure
and/or heart problems should not use the
hot tub.
By signing the hot tub agreement, you
are signifying that the tenant shall
supervise all children under the age of
16 and be liable for any accidents,
incidents, or injuries that may be
incurred and in no way shall hold BRVC
or the owner liable for any of the above
mentioned incidents.

Bed
& Bath Linens
Bed and bath linens are provided at all
of our vacation rental properties.

Items
Left Behind
We cannot be held responsible for items
left in homes. Please double check your
cabin for personal items prior to
departure. If we are asked to return
items to you, they will be returned via
UPS and charged actual shipping plus a
$25 processing fee.
